Role Overview

The Administrative Assistant, Facilities and Office Services will oversee facilities and office operations at our Nairobi Office, providing leadership and ensuring five-star service to teammates, clients, and visitors. Responsibilities include reception handling, visitor engagement, client and executive visits, travel management, budget management, office supplies management, and courier services.

Duties & Responsibilities

  1. Reception Management:

    • Welcome and greet candidates, executives, clients, and visitors with high energy and enthusiasm.

    • Coordinate with cleaning staff to maintain a clean and organized office environment.

  • Work with other site Community Coordinators to send and receive documents.

  1. Office Maintenance:

    • Report any issues within the office to the team

    • Maintain and organize physical and digital files, ensuring they are easily accessible.

  2. Visitor and Applicant Engagement:

    • Work with the recruitment team to ensure alignment on applicant handling.

    • Set up client-related requests and coordinate with operations.

  3. Administrative Tasks:

    • Project, plan, and manage logistics, including assets and supplies.

    • Coordinate shuttle services, trip logs, and invoices.

    • Ensure a steady flow of logistics and the safety of employees during emergencies.

    • Manage driver/messenger schedules and company vehicles.

  4. Client and Executive Visits:

    • Ensure all client and executive visits are well prepared.

    • Assist in making sure business-related policies and procedures are followed.

Relevant Experience Required

  • Minimum 1 to 2 years of experience in travel, transport, asset management, merchandising, supplies, and reception handling.

  • Experience in employee and applicant engagement.

Educational and Certification Requirements Graduate of a 4-year university course, preferably a business-related course in HR and administration, logistics, hospitality or Supply chain.
