Role Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our Payroll team. This role will be responsible for assisting with payroll-related administrative tasks, ensuring compliance with company policies and government regulations, and helping streamline payroll processes. The ideal candidate will have strong organizational skills, attention to detail, and the ability to handle confidential information with discretion.
Duties & Responsibilities
Key Responsibilities:
Assist in payroll processing by collecting and verifying employee data, timesheets, and supporting documents.
Maintain accurate payroll records, employee files, and reports to ensure compliance with company policies and government regulations.
Support payroll audits, tax filings, and end-of-year reporting.
Coordinate with HR and Finance departments for payroll-related matters, such as employee benefits, deductions, and reimbursements.
Respond to payroll-related inquiries from employees and escalate complex issues to the appropriate team members.
Prepare payroll reports and summaries for management review.
Assist with payroll system updates, troubleshooting, and data entry.
Organize and maintain payroll documents, contracts, and other confidential records.
Provide general administrative support to the Payroll team, including scheduling meetings, preparing presentations, and handling correspondence.

Skills
Bachelor's degree in Business Administration, Accounting, Finance, or a related field (preferred but not required).
Previous experience in an administrative or payroll-related role is a plus.
Strong organizational skills and attention to detail.
Ability to handle confidential information with discretion.
Proficiency in Microsoft Office (Excel, Word, Outlook) and familiarity with payroll software (e.g., Sprout, SAP, ADP, QuickBooks, etc.) is an advantage.
Strong communication and problem-solving skills.
Ability to work independently and collaboratively in a fast-paced environment.
Technical Skills:
Payroll Processing Knowledge – Basic understanding of payroll procedures, tax regulations, and labor laws.
Data Entry & Management – Accuracy in entering, updating, and maintaining payroll records.
Excel & Spreadsheet Proficiency – Ability to work with formulas, pivot tables, and data analysis.
Payroll Software Familiarity – Experience with tools like Sprout, SAP, ADP, QuickBooks, or other payroll systems.
HR & Finance Coordination – Understanding payroll-related HR processes such as benefits, deductions, and employee records.
Administrative & Organizational Skills:
Time Management – Ability to prioritize multiple tasks and meet strict payroll deadlines.
Document Control – Organizing and maintaining payroll records, employee files, and compliance documents.
Attention to Detail – Ensuring accuracy in payroll computations, reports, and documentation.
Confidentiality & Compliance – Handling sensitive payroll information with discretion and ensuring compliance with company policies and government regulations.
Soft Skills:
Communication Skills – Clear and professional verbal and written communication with employees and stakeholders.
Problem-Solving Abilities – Addressing and resolving payroll discrepancies or employee concerns.
Adaptability & Proactiveness – Ability to handle urgent requests and work effectively in a fast-paced environment.
Collaboration & Teamwork – Working closely with Payroll, HR, and Finance teams to ensure smooth payroll operations.
Customer Service Orientation – Providing timely and accurate payroll assistance to employees.
Educational and Certification Requirements
Bachelor's degree in Business Administration, Accounting, Finance, or a related field (preferred but not required).
